On-Demand Check-ins

On-Demand Check-ins allow users to scan a point (QR, NFC, or GPS) and complete assigned actions or checklists without being assigned to a Scheduled Task. This mode is ideal for ad-hoc visits, unscheduled inspections, spot checks, or flexible patrol workflows.

When enabled in the Point settings, authorized users can:

  • Scan the point at any time

  • Complete the predefined action list (if configured)

  • Submit notes, photos, or other checklist inputs

  • Generate a full activity record just like a regular task execution

You can configure:

  • Who can use On-Demand Check-ins (all users at the location or selected users only)

  • Default action list for the point

  • User-specific action overrides if certain users require different steps

If no actions are required (for example, simple guard patrol verification), the action list can be left empty — the system will still register the check-in with timestamp and location data.

On-Demand Check-ins can be used independently or combined with traditional Scheduled Tasks, giving you full flexibility in managing both structured and flexible workflows.

The result of a Check-in appears on the Schedule page and is displayed the same way as a Scheduled Task execution — giving you consistent reporting and visibility.

Difference Between Check-ins and Scheduled Tasks

Both Check-ins and Scheduled Tasks allow you to record and control field activity — but they serve different operational needs.

Check-ins (On-Demand Mode)

Check-ins are designed for flexibility and simplicity.

  • Require no configuration beyond basic Point settings

  • No task scheduling or assignment required

  • Simple and fast workflow — no micromanagement

  • Ideal if you:

    • Don’t operate with a strict schedule

    • Don’t have a fixed deployment plan

    • Are transitioning from paper-based processes

    • Need flexible patrol or visit confirmation

Users simply scan the point and complete any assigned actions (if configured).

Scheduled Tasks

Scheduled Tasks provide structure, planning, and full operational control.

They allow you to:

  • Have a clear vision of what should be done and when

  • Receive notifications if tasks are not started, expired, or missed

  • Manage your team via a centralized schedule board

  • Use Open Tasks (tasks without assigned users) to control work distribution

  • Track accountability and completion rates

Scheduled Tasks are best when you need structured operations, compliance control, and visibility across teams.

In practice, many organizations combine both approaches — using Scheduled Tasks for planned work and Check-ins for flexible or additional activities.
